Privacy Policy — Execute with Ray
Operated by James Meehan Digital ("JMD", "we", "us"). Effective: October 5, 2026.
1. Information we collect
Contact information: your mobile phone number and email address, provided at signup.
Onboarding answers: your age bracket, activity level, equipment, physical limitations or injuries you choose to share, and preferred text time and timezone. These answers may include health-adjacent information. You choose what to share; every question is optional except your phone number.
Message content: the text messages you exchange with the service, including any photos you send for the meal check feature.
Payment information: processed securely by Stripe. We never see or store your full card number.
Consent records: your phone number, the exact consent language you agreed to, timestamp, and IP address. We keep these for at least four years as required by telecommunications law. These records cannot be deleted on request while the legal retention period applies.
Technical data: IP address, device type, and basic site usage, collected automatically.
2. How we use it
- To deliver your coaching texts, emails, and PDFs.
- To personalize workouts around your answers (including working around injuries you told us about).
- To process billing and prevent fraud.
- To respond to support requests and legal requests (including privacy rights requests below).
- To improve the service in aggregate. We never use your individual health-adjacent answers for advertising.
3. Who we share it with
We share data only with service providers who help run the service, under contracts that limit their use of it:
- Telnyx — delivers your text messages.
- Stripe — processes payments.
- Supabase — hosts our database.
We do not sell your personal information. We do not share it with advertisers, data brokers, or third parties for their own marketing. Your phone number is never sold or rented.
Text messaging: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. Sensitive information
Your injury/limitation answers are health-adjacent. Under California law this can count as sensitive personal information. We use it only to tailor your workouts, we never sell or share it beyond the service providers above, and you can ask us to limit its use or delete it (see Section 6), except for the consent records we must legally retain.
Note: HIPAA (health privacy law for doctors and insurers) does not apply to us — we are a fitness coaching service, not a healthcare provider. We still protect your information as described here.
5. Data retention
- Account and message data: kept while your account is active, deleted within 90 days of account deletion.
- Consent records: kept at least 4 years (legal requirement, cannot be shortened on request).
- Billing records: kept as required by tax and financial law.
6. Your privacy rights (California)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and share about you.
- Delete your personal information (with legal exceptions, including the consent records above).
- Correct inaccurate personal information.
- Opt out of any sale or sharing of your personal information (we don't sell, but the right stands).
- Limit our use of your sensitive personal information.
- Non-discrimination — we will not deny you service or charge you more for exercising these rights.
To exercise any right, email privacy@executewithray.com with the subject "Privacy Request". We will verify your identity and respond within 45 days. You may also reply STOP to any text to end messaging immediately.
7. Security
We use reasonable administrative, technical, and physical safeguards, including encrypted connections and access controls on our database. No system is perfectly secure; we cannot guarantee absolute security.
8. Children
The service is for adults 18 and older only. We do not knowingly collect information from anyone under 18.
9. Cookies
Our site uses only basic functional cookies/equivalent storage needed for the site to work (such as remembering your session). We do not use advertising trackers.
10. Changes
We will post any changes here and notify you by text or email for material changes at least 14 days in advance.
